Privacy Policy

Trade Engine Limited ("Trade Engine", "we", "us", or "our") is a New Zealand company incorporated under the Companies Act 1993 (Company No. 9434759, NZBN 9429053723260), operating at 4 Rendall Place, Eden Terrace, Auckland 1021. We can be reached at scott@trade-engine.co.nz.

This Privacy Policy explains how we collect, use, store, and share personal information in connection with our AI-powered call answering service ("the Service"). It applies to information about callers who contact our clients' businesses, and to our clients themselves.

Trade Engine is bound by the New Zealand Privacy Act 2020 and its Information Privacy Principles (IPPs).

2. Information We Collect

2.1 Caller Information

When Trade Engine answers a call on behalf of one of our clients, we may collect the following information from the caller:

Callers are informed at the start of each call that they are speaking with an answering assistant. A recording disclosure is included in the call greeting.

When you visit trade-engine.co.nz, we may collect standard analytics data such as pages visited, browser type, and approximate location. This data is aggregated and not used to identify individuals.


3. How We Use Information

We use personal information for the following purposes:

We do not use caller information for marketing purposes, and we do not sell personal information to third parties.


4. Call Recording

All calls answered by Trade Engine are recorded. Callers are notified of this at the start of every call through the answering greeting.

Recordings and transcripts are accessible to the relevant Trade Engine client (i.e. the business whose number was called) and are retained for 12 months from the date of the call. After that period, recordings and transcripts are permanently deleted.

Clients are responsible for ensuring their own use of call recordings and transcripts complies with applicable law, including any obligations they may have to their customers.


5. Where Data Is Stored

Trade Engine uses Amazon Web Services (AWS) to host and store data. Our primary data region is us-west-2 (Oregon, United States). This means that personal information collected through the Service is stored outside New Zealand.

By using our Service (as a client) or by calling a business that uses our Service, you acknowledge that personal information may be transferred to and stored in the United States. We take reasonable steps to ensure that AWS maintains appropriate security standards consistent with the NZ Privacy Act 2020.


6. Third-Party Service Providers

We use the following third-party providers to deliver the Service. Each processes personal information on our behalf:

We do not authorise any of these providers to use personal information for their own purposes. We will update this policy as our third-party arrangements change.


7. Data Retention

We retain personal information only for as long as necessary to deliver the Service and meet our legal obligations:

After the relevant retention period, data is permanently deleted from our systems and those of our sub-processors.


8. Access and Correction

Under the Privacy Act 2020, individuals have the right to request access to their personal information and to request correction of any inaccurate information.

To make a request, please contact us at scott@trade-engine.co.nz. We will respond within 20 working days. In some cases we may need to verify your identity before providing access.

Note: caller information is collected on behalf of our clients. Where a request relates to a call with a specific business, we may need to direct you to that business as the primary data controller.


9. Security

We take reasonable steps to protect personal information from loss, unauthorised access, disclosure, or misuse. These measures include:
